Office Manager

The office manager is responsible for the non-clinical aspects of the day to day operations in the Behavioral Health Unit and Crisis and Community Based Services.


The office manager will be responsible for the following duties:

  • Responsible for daily administrative operations for the Behavioral Health Unit, Crisis and Community Based Services and including support to the Unit Director and Medical Director.
  • Management of reception, client scheduling, insurance validation, registration, medical records, data entry and cash postings
  • Management of scheduling of client appointments to ensure client satisfaction and clinical productivity
  • Works closely with the Intake department to ensure proper scheduling of families entering the clinic.
  • Review reports and discharge cases from EMR as indicated
  • Support families in completing agency paperwork
  • Responsible for hiring and training of support staff
  • Conducts performance evaluations
  • Develops processes and procedures for effective operations
  • Ensures that support staff are HIPAA compliant
  • Ensures that the client waiting area is clean and orderly
  • Implement and maintains office policies and procedures
  • Ensure support staff updates patient’s electronic health records
  • Perform other duties as requested, duties may change and/or be added at any time


  • Proven work experience as a medical office manager and supervisor
  • Knowledge of accounting, data and administrative processes and principles
  • Ability to handle medical records discreetly
  • Excellent organizational and time management-skills
  • Ability to perform well in stressful situations
  • Communication skills and a customer service orientation
  • B.S. Degree in Healthcare Administration, Business or relevant field
  • Bilingual (Spanish) preferred


Bachelor’s Degree


Five to seven years’ experience as a medical office manager

Two to three years in a supervisory position
